<p>
The day to day operations of the PF HOA are run by an all-volunteer Board of Directors, along with help from many other committee volunteers. </br>The Board establishes the annual dues assessment and is responsible for using the money assessed to maintain and improve HOA property and offer programs which are of value to Prairie Fields residents, thereby increasing the value of the neighborhood. </br>

<li> Maintain a healthy reserve in the Prairie Fields operations account, and collaborate on new ideas to improve our community, and increase property values.</li>
<li> See a permanent solution to the drainage field on the East end of Prairie Fields Park, along First St; perhaps a fish-stocked retention pond, for fishing derbies, paddle boating, and ice skating (in approved safety conditions).</li>

The Prairie Fields HOA is governed by a Board of Directors (BOD), per the PF HOA BYLAWS. The Board exists to represent and support all members of the homeowners association.</br></br>
Each member of the Board is elected to a two year term, with an election held in the fall of each year for the vacancies of the following year. </br>
<h2>What are the offices of the Board of Directors?</h2>
<p>In general, the HOA Board of Directors will have the offices of President, Vice President, Secretary, Treasurer, and Member at Large. The officers are usually elected at the first Board meeting by the Board following the annual association meeting. The term of office for a Board member typically lasts one year. The duties for each office are:</p>
<h3>President</h3>
<ul>
<li>Presides at all HOA Board meetings</li>
<li>Makes sure orders and resolutions are carried out</li>
<li>Signs contracts </li>
</ul>
<h3>Vice-President</h3>
<ul>
<li>Takes the place of the President when he/she is absent</li>
<li>Performs other duties as required</li>
</ul>
<h3>Secretary</h3>
<ul>
<li>Keeps meeting minutes</li>
<li>Records votes</li>
</ul>
<h3>Treasurer</h3>
<ul>
<li>Receives and deposits monies</li>
<li>Signs checks</li>
<li>Prepares the annual budget</li>
</ul>
<h3>Member at Large</h3>
<ul>
<li>Participate in Board voting and discussions</li>
<li>Performs duties as assigned</li>
<li>Serve on Architectural Control Committee</li>
</ul>

<h3>What Other Duties Does an HOA Board Have?</h3>
<ul>
<li>Arrange for the care and upkeep of the commons areas; </li>
<li>Set the amount of and collect HOA fees each year</li>
<li>Prepare a summary of the accomplishments for the year, including a summary of fiscal expenditures;</li>
<li>Prepare a budget for the next fiscal year for submission to the membership; </li>
<li>Enforce any and all covenants, restrictions, agreements, and rules and regulations to protect the homeowners, relating to the use of common areas and personal conduct of HOA members</li>
<li>Regulate, plan, arrange for and approve all landscaping, improvements, erosion control, aesthetic and architectural issues, usage of the commons areas, and all questions concerning maintenance, repair, improvements, changes, or additions to the commons areas; </li>
<li>Secure insurance as may be necessary or advisable</li>
</ul>
<h3>When does the Board meet?</h3>
<p>The BOD generally meets at 8:00 PM on the second Monday of each month in the library at Carrie Busey School. See the calendar for current scheduling. The Board may also meet at other times as deemed necessary by the President, and conducts business via email, too. All email items are discussed at the regular monthly board meeting, so that the meeting minutes reflect emailed action.
